PayLab + Xero Integration for Invoicing

Effortless invoicing directly from your PayLab claims If you’re a claimer using PayLab you can now connect your Xero account to automatically generate invoices straight from your approved claims. No more manual entry or duplicate data, just smooth, accurate, and fast invoicing.

What Does This Integration Do?

Traditionally, claimers had to:

  • Create a payment claim in PayLab

  • Then separately create and attach a matching invoice in Xero

With the PayLab + Xero integration, this process becomes seamless.
Once your claim or payment schedule is approved, PayLab can automatically create a matching Xero invoice for you, complete with all the correct details.

Who Can Use It?

  • Currently only for PayLab New Zealand customers
  • Claimers
  • Integration applies to all main contracts where you're the claimer (once connected, you don't need to set it up again for each project)


How It Works

  1. Set up your Xero Integration once at the account level in PayLab
  2. Choose your deault invoice settings:
    • Invoice Status (e.g. Draft or Approval)
    • Revenue Acccount for
      • Base Contract, variations, and materials
      • Retention and retention release
    • Xero tracking category (If you use one)
  3. Decide when invoices are created:
    • After a final approval of the claim
    • After the Payment schedule is issued
    • Or manually, at any time, using the "Generate Invoice" button

Tip!  You can also choose whether PayLab:

  • Automatically generates invoices once conditions are met, or

  • Waits for you to trigger the process manually

Note: PayLab will always use the payment claim value, unless a payment schedule has been issued — in which case, the schedule value is used.
